1. Skipping the Venue Site Survey
This is the number one mistake. Every NYC venue is different — ceiling heights, power availability, load-in access, Wi-Fi infrastructure, ambient noise levels, and acoustic properties all vary wildly.

2. Underestimating Audio Needs
The most common complaint at events? “We can’t hear the speaker.” Event planners routinely undersize their audio, especially for venues with hard surfaces (galleries, lofts) or outdoor spaces.

3. Forgetting About Content and Connectivity

- Provide content specifications to presenters well in advance
- Always have backup connectivity (wired + wireless)
- Test all content on the actual display before doors open

4. Not Budgeting for Delivery and Labor
Equipment rental is just one part of the cost. In Manhattan especially, delivery logistics can be complex and time-consuming:
- Building loading dock reservations often have tight windows
- Some venues require union labor for setup
- Parking and truck permits may be needed
- Setup time in the venue may be limited

5. Waiting Until the Last Minute
NYC’s event calendar is packed year-round. During peak seasons (September–December, especially), popular equipment like fine-pitch LED walls, d&b line arrays, and Barco 4K projectors book out weeks in advance.
Ideal booking timeline:
- Large events: 4–8 weeks in advance
- Medium events: 2–4 weeks
- Small events: 1–2 weeks (though we do offer same-day delivery when inventory allows)
